Create Tasks
- On the Vehicle Overview Screen click Tasks.
- Click New Task button.
- Enter Task’s Name, Hourly Rate (used for timesheets), Start and Due Date and Description.
Click Save button.
- Task has been created.
- You can make this task public, so not only assignees can view, but every Staff Member will have access to it.
- Checklist is a pre-defined list of sub-tasks that needs to be done to complete the whole task
(e.g. main task – Car Service, sub-tasks – Engine Oil Replacement, Oil Filter Replacement etc.)
Create Checklists for larger tasks, so you’re not going to miss any step of this task/job.
- You can add some comments or pictures/videos for your Customer, who will be able to see task progress in Customer Portal.
Good place to list other advisories or work that needs to be done in the near future.
- You can add extra Reminders related to this task or assign more Staff Members to complete it.
- Each Staff Member, who is assigned to the task, can start their own timer.
This will log the time spent on the task, and GI system will automatically calculate the task’s billable amount based on the Hourly Rate set in step 3 of this guide.Note: Timer will keep runing even if you close task window or whole GI app. You should pause timer whenever you’re not working on this particualr task.
System will ask you to stop timers, when you try to log out. - If you prefer to add timesheets manually, just click
Timesheet button, and enter start/end time (time spent on the task), select staff member and click Save button.
- Click
Mark as Complete button, when task is finished.
